Compliance:
Each semester every year, academic and medical records for all Hilbert student-athletes are reviewed and evaluated to confirm an athlete's eligibility prior to practicing or representing Hilbert College. Every athlete must carry their own medical insurance and must present a copy of their insurance card along with the necessary eligibility forms completed PRIOR to their first practice session at Hilbert College.
No athlete may practice with the team until their head coach has received written documentation from the Hilbert's Compliance Coordinator confirming the list of eligible athletes.

Educational
Within the first few days of classes being back in session, the Athletics Department will host a mandatory Orientation Session for all student-athletes who plan on representing Hilbert College during the 2012-13 academic year. The athletes in attendance will be instructed on Athletic Department policy/AMCC policy and NCAA policies regarding: sportsmanship, eligibility, expectations, team travel, social networks, hazing, etc. THIS IS A MANDATORY meeting.

On Sunday, January 24, 2010, in Swan Auditorium, all student-athletes were required to attend a video which the NCAA provided all conference commissioners to distribute to their conference members. It was a video on HAZING and the unfortunate events surrounding a hazing event in September of 2004. Academic and Athletic Eligibility
All student-athletes:
- must be enrolled full time (12 credit hours) at all times during the academic semester. If a class is to be dropped and another class added - at no point can you be registered for anything less than 12 credit hours. It is recommended that you add the new class first, then drop the original class second.
Allegheny Mountain Collegiate Conference Academic Eligibility Requirements:
1. Cumulative Grade Point Average
a. During the first two full-time semesters, all student-athletes are eligible per institutional standard. Beginning with third full-time semester, a minimum cumulative grade point average of 2.0 shall be required to compete in a conference sponsored sport. Hilbert College has choosen to apply this standard to all sports teams even if they are not members of the AMCC.
b. Transfer students, during the first year of attendance at the conference institution, shall be held to the same standard as incoming freshmen.
2. Normal Progress
By the start of the fifth full-time semester (or third year of athletics eligibility), the student-athlete shall be enrolled in a course of study toward fulfilling a major.
3. Waivers
a. A waiver opportunity shall be made available for a student-athlete whose GPA after two full-time semesters is 1.75-1.99. Please review the Student-Athlete Handbook for detailed instructions as to how to apply for this waiver.
4. Mid-Semester Re-instatement
a. It is possible for a student-athlete, who is ineligible at the start of a semester to become re-eligible mid-semester. Please review the Student-Athlete Handbook for explaination.
Guidelines for Participation in Intercollegiate Athletics
It is the responsibility of each student-athlete to communicate directly with his or her professor when academic and athletic schedules have a conflict. Athletic participation is a privilege, not a right. The Department of Intercollegiate Athletics is sensitive to the academic demands and as such, will minimize missed class time when preparing game schedules. The College has established specific guidelines for participating in intercollegiate athletics.
The College recognizes the many benefits - for the participants as well as the College community as a whole - of intercollegiate athletics. At the same time, the College affirms the priority of its academic mission. Consequently, the following guidelines must be followed:
1. Student-athletes must recognize that the academic demands of the College take precedence in any situation in which conflicts arise between academic obligations and practice for and particpation in athletics.
2. Student-athletes must recognize that it is their responsibility, not that of the professor, to accomnnodate the demands of athletic participation to their academic responsibilities. While professors are often sympathetic to the conflicts that do arise, they are not obligated to make changes in schedule, assignments, or tests for practices, intercollegiate contests, or the travel they require.
3. If conflicts arise, it is the obligation of the student to inform both the professors and the coaches and find a way to meet the academic obligation. Students are advised to discuss potential coflicts with their professors at the beginning of each semester.
4. The first obligation of all students is to attend classes as scheduled. Missing a class or lab to attend practice in not acceptable.
5. It is the responsibility of the athletlic coach to design a weekly practice schedule that does not conflict with academic classes.
Please be reminded of the NCAA by-law 17.1.6:
"Missed Class Time-Practice: No class time shall be missed for practice activities except when a team is traveling to an away -from-home contest and the practice is in conjuction with the contest."
Outside Competition
A student-athlete may not participate as a member of any outside team in any non-collegiate, amateur competition during the institutions intercollegiate season in the sport.
EXCEPTION: a student-athlete may participate as a member of an outside team during the period between separate fall and spring seasons.
Student-athletes may not receive any type of payment for play, prize money, or receive expenses for participation. If a student-athlete is chosen to represent Hilbert College in a senior only all-star game, the student-athlete must finance the trip out of their own pocket. Hilbert College can not reimburse the student-athlete for travel costs or provide transportation to the student-athlete to attend the event. This would be considered an extra benefit.
Promotional Activities
Student-athletes are not permitted to advertise or promote any commerical products or services of any kind regardless of whether compensation if offered. Charitable organizations sometimes request assistance from student-athletes in fund-raising activites or educational activities. Permission to participate in such activities must be obtained from the Director of Athletics. Any approved charitable appearance must occur without missing any classes.
Employment
Student-athletes are permitted to work during the academic year with the following restrictions:
- paid for work actually performed
- paid at a rate commensuate with going rate locally
- may not be paid for athletic reputation
Hazing
Hazing is defined as any action or activity that recklessly endangers the physical or mental health of a person, or that violates the dignity of another person. Hazing is further defined as any activity that is expected of someone to join a group or team that humiliates, degrades, abuses or endagers them, regardless of intention or willingness to participate. The College enforcement of hazing will prevail regardless of whether or not it is conducted on the college campus. Participation in hazing activities may lead to individual disciplinary action, team disciplinary action, cancellation of the season, and/or termination of the team.
Social Networks
Athletic Department Policy. Participation in intercollegiate athletics at Hilbert College is a privilege, not a right. The Athletic Department conduct policy currently states: “Student-athletes shall deport themselves with honesty and good sportsmanship. Their behavior shall AT ALL TIMES reflect the high standards of honor and dignity that characterize participation in competitive sports at Hilbert College.” While the Athletic Department does not prohibit student-athlete involvement with internet based social networking communities, this high standard of honor and dignity encompasses comments and postings made to internet sites. The Athletic Department reserves the right to take action against any currently enrolled student-athlete engaged in behavior that violates College, Department, or team rules, including such behavior that occurs in postings on the internet. This action may include education, counseling, team suspension, and termination from the varsity team.
